The process for External communications was not defined, or consistent. This led to delays, confusion, and in turn some relationship breakdowns.
Measure

We carried out a Current State Value Stream Map where we identified the waste and overall duration of the process. We looked at this as a percentage, identifying which parts of the Value stream map were wastes such as rework and overprocessing, which helped to identify areas for improvement.
Analyse

We measured the current state at 20,140 Minutes or 41. 9 days including Weekends. The percentage of Waste was 98.41%, with 0.65% NVA, and 0.94% Value Adding. the main Wastes identified included Overprocessing and Rework.
Improve

We completed a future state for the process and also identified further improvements that could be made at a later date. We reduced the number of the steps in the process from 32 steps to 8, the benefits included reduced rework, clarity on the process to follow, saving an overall duration of 30 days, improving our relationship with external stakeholders and the customer, and saving £2005.69 per communication. Reducing waste by 4% and overall time by 71.43%.

The future state process has been distributed across the RDP Midlands. The process is being tested by all schemes as fit for purpose. Once tested, this will go out as best practice across all RDP schemes.
