Define
*
The MDAT (Managing Demand and Active travel) team relies on monthly narrative updates to measure project progress that’s hard to understand at a glance and overlooks weekly tasks and challenges. With no visual way to show overall work in the team, it can lead to frustration during pinch points in the process where better planning, such as having awareness about upcoming opportunities across CSC (Customer Strategy and Communications directorate) and highlighting risks, could have helped. Dependencies between team members could be identified to understand where we can identify resource support.
Measure
*
Baseline: currently don’t have a visual performance management cell, but will create one and monitor how it improves team satisfaction in team meetings. Will create a baseline survey to ask: How much do you think the team meeting contributes to our RIS goals? Do you feel like the work you’re doing contributes to our RIS3 goals? Ask rating scale questions: How well do you think we have we have a tangible plan for RIS3? How well do you think we are delivering the customer service plan milestones? How well do understand what each team member is doing? Continuous improvement through asking the team for feedback Outcome- tracking where the teams has capacity/resource to complete additional tasks, mechanism to identify where we have resource limitations Plan to repeat survey at the end.
Analyse
*
Convincing the team why the Lean project is worth it- explaining different types of visual performance management and how it'll help the team see how we're progressing and fill gaps in knowledge over the long term Kipling analysis to define the problem, and creating the problem statement, and collecting supporting data. 3C's to understand what needs improving for the long term (concern, cause, countermeasure). Understand what we can influence within the team/outside of the team- ABC analysis.
Improve
*
baseline survey helped team leader understand more work is needed to improve information gaps now have a visual tool to help open conversations with the team did a workshop to agree what the team purpose is - realign on priorities promote continuous improvement within the team
Control
*
keep using it for the next couple of months- weekly gather feedback in 3 months time to improve it
Transfer
*
Now, I know that having a problem statement at the start, and speaking with stakeholders to understand benefits and disbenefits, then understanding what outcome we're trying to achieve is very important before jumping to solutions. Having a baseline survey to measure against will help promote continuous improvement and help come up with ideas for the performance element of the dashboard- would have used sooner. Next time, I would spend more time developing the KPIs but that comes with time and more iterations of the performance cell
