This project has been proposed because on site we have an abundance of keys that range from vehicle keys to storage container keys. These keys did not have a specific safe storage location with a consistent, robust management process in place for them. There have been incidents of keys being lost or misplaced on a regular basis with varying degrees of consequences.

Observations over a month were made to establish a baseline for the cost of poor key management. Data was inputted into a spreadsheet.
Analyse

The data that had been collected over the previous 2 months was reviewed. It was noted that additional vehicles were on hire as risk mitigation against day shift teams not being able to find keys from night shift and vice versa. There were 3 shifts where gangs had lost production time due to inability to access stores for equipment. The daily search for keys by foreman and gangers was creating a lot of non productive time. There was a risk of team members picking up speeding fines and vehicle damage with no accountability for cost recovery.

The Agent researched the market for options of Key management systems. A product was found that is a simple plug and play key management system. It ensures that the right keys are available to the right people at the right times. It helps trace and account for every key or keyset, which is individually locked in place, ensuring that critical business operations are never jeopardised. Once access is gained, a green LED indicates those keys to which this user has access. The user cannot remove keys highlighted by a red LED which continue to remain locked in place.

The key management system was purchased and installed. A number of training sessions were held with the site team members to understand the programming and operation of the equipment. The system was monitored over the next 2 months to verify the improvements were sustainable.
Transfer

An Improvement Sheet was prepared and shared at the bmJV weekly update. It was also shared at the BAM Transport Lean forum. The idea was then implemented at DHS M6 J8 offices and also M40/M42 Interchange.
